Convention Hotels

Picture
BEFORE YOU START, PLEASE READ THIS IMPORTANT INFORMATION

Region 13 reduces convention costs through contracted hotel room nights. In other words, we guarantee them our members will stay a certain number of nights at their hotels, and in turn they give us our meeting rooms for free or a greatly reduced cost. These rooms are used for our Kickoff, the education class, and our Show of Champions and Afterglow! This saves us (and you!) a significant amount of money.

When attendees choose not to stay at the DoubleTree or The Centennial, our room night count falls short and we face significant financial penalties. Such was the case in 2019, when the Region  faced a  $13,000 penalty for not meeting our room block at The Centennial; something that factored in when the RMT raised convention fees for this year's contest. Furthermore, effective with our   2021   convention, an additional fee will be levied for all members not staying at a contracted convention hotel.
We   STRONGLY   encourage attendees to stay at one of our two convention hotels.

ROOM CAPTAINS:   As was  done  in 2019, the DoubleTree and The Centennial  no longer   accept block room reservations from choruses. Please figure out your convention roommates, and then choose one to be  the "room captain." It will be up to the room captain to make the reservations   FOR THE ROOM.   Room Captains can only reserve   ONE room   under their name, and they should have a credit card ready to hold it. If possible when making reservations, room captains should also have the names of the others who will be sharing the room, as well as their arrival/departure dates.

When booking:
     •       The Centennial does not accept checks except as an advance deposit on guestrooms,  and a credit card will be required to reserve a guestroom.  If you do not want to use your credit card for payment, you will need to pay with cash on check-out, or send in a check for your portion of the charges upon booking, which will need to be received a minimum of two weeks prior to arrival and clearly identifying the number of guests who will be in the room and if you intend the split the rate.
     •       Adjoining rooms may be requested, but these rooms are limited and cannot be guaranteed.  Preference will be given for adults with underage children or who are acting as caregivers.
      •       Please let the hotel know if you will be needing an accessible room and what that entails   (TDD, close to elevator, etc), realizing that accessible rooms will be assigned first-come, first-served.

2020 Payment Options at The Centennial.    Please read!
     •       Single Card Option:   This option will allow one person to use their individual credit card to reserve a room.  Any guest(s) who might be sharing the room will need to reimburse the person who originally booked the reservation because ALL room and tax charges will be billed against that ONE credit card.
     •       Multiple Cards Option:    If you intend to use multiple cards to pay for a room, you must provide the hotel AT CHECK IN with the first and last names of each guest in your room, along with arrival and departure dates. The hotel system authorizes the very first card presented at check-in for the ENTIRE room amount owed regardless of how many people are in the room or if the bill is being split. While this authorization is not a final charge and any unused amount will be returned to the guest’s credit card, it can take up to 10 business days for the funds to become available again.
     •       Please note: Debit cards ARE NOT recommended.  Changes and additions at checkout are not permitted; no exceptions.  Room and tax charges per night must be split equally among all guests listed on the reservation.

IMPORTANT UPDATE ABOUT THE DOUBLETREE!  As of December 15,  our room block at the DoubleTree Hotel is essentially sold out.   Feel free to call or try  to reserve online, but know that available rooms are extremely scarce.

The Centennial still has available rooms; see their reservation procedures above. And remember, buses run frequently throughout the weekend, plus the walking path between  the two hotels is a lovely way to get some fresh air!
