Chorus Regional Registration Form

​Regional registration is the process by which we get all the miscellaneous information we need about each competing chapter.   
ONLY THE PRESIDENT, TEAM LEADER, or CHORUS CONVENTION CHAIR SHOULD FILL OUT THIS FORM.   
This is not something  individual members need to do.


    Your chorus will be officially registered with Region 13 after you have filled in the information requested below and pushed the SUBMIT button.   Deadline for submitting your information on this page is March 23, 2020! 

    A brief overview of the 6   registration steps: 
        Step 1:  Complete your Sweet Adelines International   Entry Form    and pay the contest fee to SAI before February 25, 2020. Click here for SAI's chorus competitor pages.   After you complete the SAI Entry Form, tackle this page.   
        Step 2:  Make sure your contest songs are copyright approved. 
        Step 3:  Complete the Regional Chorus Registration Form, below.    Upon completion, our registrar, Evelyn Weiss, will be notified and automatically send your All Events Tickets (AET) order form via email.  If you don't hear from Evelyn in a few days, please   email her.
        Step 4:   Fill out the  Chorus Rehearsals and Meals Order Form (you will be automatically directed here after competing Step 3).
        Step 5:  Pay for everything (except your AETs)! Do this after you've completed Steps 1-4.
        Step 6:  Download and complete SAI’s List of Competing Members form, which is available here. Note that this form is now FILLABLE on most PDF programs. Follow the instructions on the form and then email a copy--with as many signatures as you have at the time--to Judy  Galloway / jhgalloway47@gmail.com by April 5.  Additionally,    TWO final copies of your Lists of Competing Members--signed and filled in completely--should be handed in at the Chorus Briefing in Spokane  (photos from phones would also be  fine).   DO NOT mail them SAI headquarters.

    Step 1 of 6:  Have you competed the  International Entry Form?
    WHY:  All competing choruses must first complete an Entry Form to compete with Sweet Adelines International. Competition entry information was emailed to choruses on January 12. ​   
    WHO DOES THIS:  President/Team Leader or Treasurer/Finance Manager.

    WHEN:  Chorus entry forms must be submitted to International by 2/25/20    to be included in the initial draw for order of appearance.  After that date, the late fee is $250.00, with the final/late deadline to enter being 3/11/20.
    WHERE:  If your chorus hasn't already done so, enter   for contest on the   Sweet Adeline website  before Starting Step 2.

    And a general tip! Be sure to   
    read everything offered by SAI on their website,  small print included! Forms change from year to year, with more duties being handled online and/or electronically. Don't miss out because you haven't read the details.

    Step 2 of 6:  Are your songs ready?
    COPYRIGHT CLEARANCE:   Sweet Adelines International requires that only copyright-cleared music be sung at regional competitions. If you have a medley of songs, you must include the information   about   each song, no matter how short the excerpt. Do not presume any song is in the public domain or that your parody is okay; check to be certain. Please read this   Copyright Matters  document from SAI. In our high-tech, online world it is best to ask permission before using altered material or posting anything.   If you have additional copyright questions, contact music@sweetadelines.com.

    By submitting the Competing Chorus Registration Form below, competitors are stating that:
    1.  They have obtained appropriate clearance permission for the arrangements they plan to sing.
    2.  The competitors are members in good stand with Sweet Adelines International and with North by Northwest Region 13.
    3.  All rights to fees, commissions, royalties, or profits received as the result of the distribution sale or lease of the recordings  or webcast in any form, as assigned to North by Northwest Region 13.

    Step 3 of 6:  Regional Chorus Registration
    Please fill in all of the information requested in this section. (* = required information)
    Eligibility for Novice Director Award ​(below):  Chorus director must meet the following criteria: a) Competing as a director for the first time ever in ANY barbershop (BHS, SAI, HI, etc) contest;   b) Score higher than any other Novice Directors; and c) achieve a minimum of 400 points.

    Please list your two competition songs below, along with all the other requested information. 

    OPEN DIVISION COMPETITORS:    If you are competing in the OPEN DIVISION and have more than two songs, please just list your first two songs below. Also complete this   OPEN DIVISION CUE SHEET   and email a copy or a photo of it  to Judy Galloway:   jhgalloway47@gmail.com ,   BY FRIDAY, APRIL 5 .

    Please bring one final copy of your Open Division Cue Sheet to the Briefing, making sure  they are completely filled-out, as the  judges follow them closely.


    Local media may record some of the competition, and North by Northwest Region 13 will use photographs from the official photographer on their Facebook and/or website(s). ​ Do you give permission for Media Coverage to these entities?

    Chorus Contact DURING CONTEST WEEKEND
    Please provide a name and cell number below for ONE person who will be the contact for your chorus during contest in case of any questions or announcements. You will be able to confirm/adjust this name during the briefing, if needed.


     Videos
    If you do not purchase a video recording, a free link to an audio-only recording will be sent to the director's email address within three weeks of competition.

    All recordings will be on flash drives  and can be purchased for $35.00; payable either online or by check. Your flash drive will be included with your official chorus contest results at the end of competition.   Additional flash drives can be purchased (at checkout) for $10.00 each. If you order extra copies, they will be sent to you approximately two weeks after contest. 

    You have the option to order a flash drive for $25.00 with a split-view video showing 1) the chorus, and 2) the director from the onstage camera. This can be in addition to the full-chorus video or in place of.

    NOTE:   You will actually pay for your flash drive(s) later, at the same time you purchase your AETs.

​Next: Steps 4-5
1.  When you submit this form you'll automatically be sent to our Chorus Rehearsals and Meals page, which we have separated out from the Regional Registration page this year. The procedure is slightly different than previous years--you'll be calling the hotel directly--so be sure to read the introduction.

2.  Also upon submitting the form, our registrar, Evelyn Weiss, will be notified you've registered. She will then send your AET form to the email address you've indicated in the "This registration is being submitted by​" box above, and you can start in on ordering your AETs. If you don't hear from Evelyn in a few days, please   email her.
